Summer Session/Winter Session Guidebooks?

Hi Everyone!

Do any of you have a summer session guide or other materials that you distribute to deans, department heads, and office administrative staff with logistical information on summer or winter sessions-- a guide for building sections, minimum enrollments, pay rates, timelines for different processes, etc.?    

If so, what information is included?  Do you hold in-person or web training sessions to help staff learn how to do successfully their part in creating and running summer/winter courses?

Thanks in advance for any expertise you have to share.  Wishing all a happy holiday season and some restful time away from the office!

Hello Claire,
We have what we call a Summer Planning Newsletter which contains the summer calendar (general dates and down to class scheduling instructions), link to summer course planning sheets, faculty/instructor hiring procedures, compensation formula and related information, and more. We meet with deans then with dept. chairs each fall to get the ball rolling.

I have set up a Blackboard course called SUMMER TEACHING FACUTLY that contains all this information. Then, I enroll the department chairs and faculty/instructors teaching in the summer. I keep referring them to this course for information when they request it. This way, the Blackboard (LMS) course is easy to update, add, and delete information so it is current.

At UMBC, we maintain a website specifically for summer/winter faculty, department chairs, and scheduling coordinators. This provides up to date info each term, and offers a one-stop URL for any questions related to the S/W sessions. (This site is separate from the websites we provide for students.) Check it out at:

First of all--we love your Blackboard idea, Gary! :-)

We also create a planning guide-usually as a pdf. I've just started posting it to a faculty/department area of our umbrella website. Includes everything folks are mentioning: recommendations for contact hours (with/without holidays), basic compensation info (links to relevant contracts), important dates/deadlines, etc.

We have an instructor guide on our website which we refer to throughout the year and we also have a digital guide we send to students and parents at the beginning of the summer:
